Which is my experience in this field?

I am a professional in the Quality Management and Continuous Improvement fields, having been certified as Quality Manager (DGQ), Quality Engineer (ASQ), and Six Sigma Black Belt (ASQ). Most of my experience is in Manufacturing, but I have worked in Service areas too.

During my career I had to perform the whole cycle from detecting Nonconformances (NC) to verify the efficacy of CAPAs in eliminating the causes of the NCs. In my last position I had to follow up the process for six beverage factories. Although we had a system with a module to manage CAPAs, at the end, we had the information scattered in several spreadsheets.

Using my experience, I have designed this system made for Notion to help you to manage your CAPAs

What actions will you be able to do with this Notion Tool? (please watch the video located after the product's mockups)

This System has four modules:

Nonconformances (NC) Management Module:

In the Nonconformance Management module, you can enter information about problems or deviations encountered in your processes. This module offers three action buttons to:

• Create New Nonconformance (NC): Initiate the process of addressing nonconformities.
• Close NC: When all related CAPAs are successfully closed, the NC can be closed.
• Archive NC: Keep all closed non-conformances closed in one place for future reference.

In the nonconformances page template you will have the information related with the whole cycle to solve the problem or deviation you found, such as:

• Interim Causes Definition
• NC's Causes Definition
• CAPAs for the nonconformance
• Verification actions to assure that the NC's causes were eliminated.

While you navigate in the Nonconformance Management module you will see hoy the process is deployed each step at a time. This system also takes advantage of the Notion's automation feature:

• For the Interim Actions you will archive the completed actions without doing any operation manually.
• When a Cause is verified, the date when you do this activity will be registered automatically.

CAPAs Management Module

The CAPA module allows you to complete detailed information about Corrective and Preventive actions. You will be able to priorize your CAPAs with an Impact-Effort Matrix that is incorporated into the tool.

The selected CAPAs are ready to start their implementation, remember to assign the leaders to manage them and its correspondent budget.

This system enables easy entry of tasks related to each CAPA, facilitating the progress follow-up and ensuring that all relevant information remains organized. You can monitor the CAPA progress until it reaches 100%.

When all CAPAs related to a Nonconformance are completed (progress = 100%), the system notifies you that the Nonconformance is ready to be verified, it means, to collect evidence about the effectiveness of the changes made in your process to eliminate the causes of the Nonconformance.

Nonconformances Dashboard Module

This module provides two main sections — one for Open NCs and another for Closed NCs.

For Open Nonconformances you will be able to see:

• Actual & Potential NCs
• NCs related CAPAs
• NCs by Source
• Open Interim Actions
• NCs that required CAPAs
• NCs Cycle Info
• Open NCs Verifications

For Closed Nonconformances you will be able to see:

• NCs by Source
• List of Closed NCs
• CAPAs for Closed NCs
• Archived NCs
• NCs Cycle Info
• Budget Balance

CAPAs Dashboard Module

This module provides two main sections — one for Open CAPAs and another for Closed CAPAs.

For Open CAPAs you will be able to see:

• CAPAs without plan
• CAPAs without starting date
• CAPA's Progress by NC
• Budget Follow-Up

For Closed CAPAs you will be able to see:

• Completed by Type (Corrective or Preventive)
• Closed CAPA Cycle (days)
• CAPAs for Closed NCs
• CAPA's Budget Info

Additionally, this system also have:

• A comprehensive guide that includes flowcharts and explanations about every module, and
• Aids to assist users in defining problems, identifying causes, defining solutions, and prioritizing actions, with steps to put them in practice and examples.
